IMPACT Enterprise functionality: Track, Prevent, Improve

IMPACT Enterprise is an integrated system of modules, designed to support three basic functions. These functions combine to help reduce an operation’s exposure to risk and losses while improving quality and productivity. The three functions are Track, Prevent and Improve.

Immediately below you will find a brief summary of each function, with links to expand the page for greater detail.

  • Track
    IMPACT Enterprise improves accountability of enterprise and operational risk management initiatives through
    • Timely data entry
    • Easy-to-use tools for responding to issues and recommendations
    • Automated notifications, reminders and approvals
    • Improved communications of measures and responsibilities across all units and levels of the organization

    IMPACT Enterprise tracks incidents, reactive measures, proactive measures, investigations and recommendations. It provides a view of all tracking to any defined level of access, from upper management to workers on the floor.

    Incidents and Investigations, Environmental, Assessments, Quality

    General Incidents, Injuries and Near Misses
    In addition to tracking Injuries, Illnesses and Near Misses, IMPACT Enterprise's general Incidents Module provides tracking functionality that can be configured for numerous incident types. This module captures the basic attributes of the event (e.g., date, responsible department/area, incident type, witnesses, and other basic descriptive information).

    For Medical Incidents, the system collects all pertinent data necessary for compilation of the OSHA 300 report. The system also enables automated notifications of Incidents by email and online Incident Report approvals and closure. Root causes and corrective actions can be spawned from and attached to the Incidents and costs associated with the incident are also captured and tracked through the life of the Incident.

    Investigations
    The Investigations Module allows collection of root causal and contributing factor data, linking these records to the Incident. Numerous Investigation "types" may be configured to facilitate organizational processes (i.e., TapRoot, SCAT, Fishbone, Etc.). Investigation Leaders, Team Members, Date, Location, Notes, etc. are also entered and tied to the Investigation.

    UDFs
    IMPACT supports extensions to the application data model in the form of user defined fields. These fields can be configured as drop down lists, text fields, date fields, multi-select lists and memo fields. Each field can be reported on through IMPACT Exec through the various reporting outputs (including charts, discovery grids, bundles scenarios, formatted reports).

    Environmental
    The Environmental Module enables tracking of environmental incident attributes, making them available for analysis and reporting within the system. Attributes collected are Discovery Date and Time; RQ Determination Date and Time; Responsible Party; Completed By; Class; the Released Media and Estimate; Incident Duration; Technical Contacts; Notes; Notifications; and the Description of the Environmental Impact. Costs associated with the environmental incident are also collected and tracked within the system. In addition, Corrective Actions can be tied to the Environmental Incident to ensure the unsafe condition/causes are corrected for future safety.

    Quality
    The Quality Module enables "Quality Events" such as non-conforming product, customer complaints, etc., to be configured and tracked as needed per your organization's business processes. The quality incident details, investigation results, and associated corrective actions may each be tracked within the system, as well as any direct and indirect cost estimates associated with the event. All quality data tracked within the system is also available for analysis and reporting through the IMPACT Enterprise Analytical Tool, enabling effective management of ISO 9000 compliance and other organizational quality initiatives.

    Transportation Consequence
    When an incident involves vehicles, the information can be captured via the transportation consequence module. This includes general information for the accident as a whole including driving conditions, road surface and information for each vehicle involved in the accident including type of vehicle, ownership of the vehicle. The system also supports capturing information about each driver/pilot including tests conducted, citations given and cost incurred.

    Categorical Consequence
    For types of consequences that are not inherently handled through IMPACT, additional consequences types can be configured using the Categorical Consequence module. Examples include Economic Loss, Fire/Explosion, Business Interruption. This module allows for a unique checklist for each type of consequence and users can capture cost for each consequence entered.

    Corrective Actions
    The Corrective Actions Module facilitates accountability tracking and ultimate closure and implementation of corrective actions. Anyone from front-line employees to facility-level and corporate-level managers may propose/enter, review, and close corrective actions. The system can be configured to allow these functions to be managed consistently with your organization's business processes. The system tracks accountability of the action item, changes in priority, status, target data, assignment and more. Plus, it facilitates workflow with online notifications, reminders, approvals and closure features. This functionality has been proven to improve the quality of corrective actions and accountability in a variety of organizations.

    Meetings
    Numerous meeting types may also be tracked through IMPACT Enterprise – from What-if meetings, monthly safety meetings, tailgates, to training sessions. The meeting leader, participants, and topics covered may all be tracked by the system. Corrective actions spawned from the meetings are also seamlessly integrated and tied to the meeting record to ensure corrective action closure for items spawned from the Meetings Module.

    Audits and Observations
    The Assessments Module allows you to track an unlimited number of audits and observations. Numerous audit and observation "types" may be configured to manage your organization's specific audit and observation processes. Through the system's configuration utility, select users assign audit and observation types (training observations, behavioral, etc.), and then configure the appropriate topics, items, and scoring methods to match their present processes. This high degree of flexibility and customization allows the system to evolve with your needs or audit and observation processes. Issues and Findings from numerous sources (audits, observations, agency inspections, assessments, etc.) can be tracked to closure. Audits, Observations, Issues and Findings are all seamlessly integrated with the Corrective Actions Module to further facilitate workflow and proactive processes.

    Analytical Functionality
    The IMPACT Enterprise® system not only facilitates tracking and storage of operational risk and performance management data. It also provides easy-to-use analytical functionality, so you can discover important facts about your organization's performance. Through IMPACT Enterprise's analysis tool, you can identify and monitor incident trends, discern effectiveness of proactive programs/initiatives, and ultimately improve organizational performance by leveraging analytical views of customizable performance metric information. IMPACT Enterprise also facilitates collaboration and communication of operational performance measures through scheduling, the ability to export reports, analysis grids, and/or graphs.

    Risk Matrix
    Various modules in IMPACT support a highly configurable risk analysis tool that supports various risk analysis methods. For simple cases, a simple 5x5 risk matrix can be configured with Severity by Frequency. More robust risk analysis is supported by having different matrices for each type of consequence (e.g. 4x5 for environmental and a 6x5 for people) where each Severity can be uniquely defined for each type of consequence. For even more robust methods, the system can be configured to support a three-dimensional matrix (e.g. Severity, Frequency, Event Probability). For any risk matrix configuration, the system will calculate the Risk Ratings for the user and provide an overall rating for the Incident. In addition to Incidents, risk can be assessed for Findings and residual risk can be applied to Investigations and Action Items.

    Bundled Scenarios
    Bundled Scenarios allows users to combine data from multiple IMPACT Exec Scenarios on a single Excel base report. Each dataset is loaded onto a separate worksheet in Excel and users can create reports using charts, pivot tables and other features of Excel. Advanced users can create Excel templates, upload them to the web server and share them with other users in the system.

    Formatted Reports
    IMPACT Exec supports the creation of formatted reports. This toolset give report developers total control over the data content and format and provides an interface for users to filter and sort the data. Users can view these reports over the web in various formats including PDF.
